GEA GRADE Refrigeration is an Industrial Refrigeration contractor operating in the MENA region. The Travel Desk Officer will dedicate herself to the best of her ability to improve the profitability of the Company and its affiliates. The Travel Desk Officer will be reporting to the HR Manager. 

The Position 

  • Responsible for the day to day operation of corporate travel. This includes booking flights (domestic and international), hotels and transportation for traveling team members, monitoring expenses, and monthly reporting.

  • Ensuring the safety and security of the travelers by registering them in the travel security, especially for travelers to high risk countries.

  • Ensure cost reduction for travel desk expenses as aligned with determined KPI’s assigned by HR Manager.

  • Provide exceptional service in a timely and efficient manner while engaging in a heavy amount of direct communication with internal and external parties.

  • Monitor on-going business travel arrangements to ensure quality experience with minimum cost.

  • Create cost estimates as requested by HR Manager.

  • Negotiate rates with vendors like different travel agencies for ticketing, hotels and hospitality groups for accommodation arrangements across MENA region to get the best and lowest corporate rates.

  • Keep up to date with innovative options in hospitality while constantly cultivating industry relationships to provide premium service at minimum cost.

  • Make bookings for travel and accommodations, taking advantage of most efficient routes and lowest available fares.

  • Ensures travel processes are aligned to business needs and make recommendations when needed.

  • Obtain tickets, vouchers, or confirmations as required.

  • Handling queries and co-ordination with internal employee’s for bookings.

  • Co-ordination with travel agents to book tickets and check availability adherence to cost and time.

  • Resolve queries regarding ticketing/reservation etc.

  • Assists in organizing and maintaining official documents and preparing the departments’ monthly report for endorsement and submission to HR Manager.

  • Performs other office administrative job related duties as may be assigned by HR Manager from time to time. 

Qualifications 

  • Diploma as a minimum qualification in administration or travel management. 

  • 3-5 years of work experience in customer services role.

  • Has knowledge of travel-related duties and can complete all administrative needs of business travel.

  • Should be fluent in English.
