GEA GRADE Admin Assistant will dedicate himself to the best of his ability to improve the profitability of the Company and its affiliates. The Admin Assistant will be reporting to the General Manager.

The Position

  • Perform a variety of administrative tasks and responsible for difficult secretarial and clerical duties in support of assigned management and supervisory staff.

  • Type, word process, format, edit, revise, proofread, and process a variety of documents and forms including reports, correspondence, memoranda, agenda items and reports, agreements, technical and statistical charts and tables, and other specialized and technical materials from rough draft dictation, modified standard format, and brief verbal instructions; develop, revise, and maintain standardized and master documents; compose correspondence, report and informational materials; assist in designing and producing informational handouts; copy, disseminate and post documents and information as appropriate.

  • Maintain calendar of activities, meetings, and various events for assigned staff; coordinate activities and meetings with other City departments, the public, and outside agencies; coordinate and arrange special events as assigned.

  • Coordinate, make, process, and confirm staff travels arrangements; arrange for transportation and accommodations for travel, check and processes expense claims.

  • Maintain accurate and up-to-date office files, records, and logs for assigned areas; develop, prepare, and monitor various logs, accounts, and files for current and accurate information including manual and computer logs of documents processed.

  • Compile, prepare, and enter data into a computer from various sources including accounting, statistical, and related documents; create and maintain computer based tracking information and reports including assigned databases, records, and lists, create standard statistical spreadsheets; input corrections and updates; verify data for accuracy and completeness.

  • Perform all administrative duties related to Human Resources

  • Process and maintain personnel files for Egypt employees. Responsible for retention and archiving of all personnel records

  • Keeps HR records of new hires, transfers, terminations, changes in job classifications, merit increases; tracking vacation, sick, and personal time

  • Act in a confidential capacity handling external and internal inquiries from public, employees & branch offices

  • Assist in monitoring employee performance appraisal program

  • Coordinate and / or facilitate special projects as needed

  • Provide HR management and Admin services to the Corporate HR  

Qualifications

  • Diploma as a minimum qualification in administration or secretarial works or equivalent.

  • Must have a very good English literate, speaking and writing skill.  

  • Perform each essential duty satisfactorily. 

  • Must have a basic knowledge of accounting fundamentals or bookkeeping. 

  • Must be knowledgeable in word processing, spread sheets, and able to set up data bases. 

  • Must have excellent customer service skills and the ability to quickly establish a rapport with people. 

  • Must be able to establish and maintain effective working relationships with team/unit.

The Position 

  • Procure from A-Z all materials and services enquiries required for projects’ execution.

  • Deal with local/global suppliers efficiently and effectively to ensure on time deliveries at best possible prices and terms.

  • Control petty cash purchases and ensure daily reporting as per approved procedure.

  • Control surplus materials returned from projects and participate in inventory physical count.

  • Sourcing local/regional markets to qualify new suppliers related to industrial refrigeration field.

  • Ensure updated vendors database and items master list.

  • Raise purchase order to suppliers.

  • Follow-up with suppliers and requestors for incomplete data or information.

  • Prepare presentations and reports as requested by the management. 

Qualifications  

  • Diploma in Supply Chain or BS in Materials Management or equivalent

  • Having  knowledge in local market and suppliers related to Industrial Refrigeration Field

  • Good in English communication both written and verbal

  • Arabic would be an added advantage

  • MS Office, Excel - intermediate level

  • Ability to generate reports and prepare presentations

  • Negotiation and inter-personal skills

  • Multi-task oriented

  • Familiar with warehouse operations and inventory activities

The Position 

  • Receives and inspects all incoming materials, documents and tracks damages and discrepancies on orders received.

  • Maintain records of deliveries

  • Proper inventory control from preparation to posting in the inventory system

  • Storekeeping of valued materials.

  • Proper monitoring and documentation of in and out of materials.

  • Sending of project materials and machineries to different sites with proper documentation.

  • Controlling the consumables.

  • Proper monitoring of tools in and out.

  • Procurement of materials.

  • Compiles records.

  • Verification of supplies received versus listed on requisitions and invoices.

  • Perform other related tasks as assigned by the immediate Supervisor/Manager.

  • Ability to travel / re-allocation.

  • Loading / unloading shipments of materials & equipment.

  • Perform any additional requirements as requested by Management.

  • Preparing reports as required by Management.  

Qualifications  

  • At least High School or College graduate

  • Minimum 3-5 years related experience

  • 25-35 years of age

  • Proficient in Microsoft Office

  • Contact company approved forwarders

  • Arranging shipment quotations and negotiating with the Forwarder

  • Negotiate delivery time and coordinate with operations departments

  • Support Client in Clearing, customs etc

  • Issuing receipts and delivery orders

  • Re-export of Equipment

  • Coordinate with Sales and Accounts department 

Qualifications 

  • With Export Letter of Credit experience

  • Graduate with min 5 years’ experience

  • Responsible for handling complex shipments by land/Sea/Air including Arranging transportation from origin to final destination

  • Export L/C review and negotiation, proficient in MS Office

  • Very Good Communication skills fluent English

  • Arabic speaking would be an advantage
