GEA GRADE Refrigeration is an Industrial Refrigeration contractor operating in the MENA region. The PRO/Secretary/HR will dedicate himself to the best of his ability to improve the profitability of the Company and its affiliates. The PRO/Secretary/HR will be reporting to the General Manager.

The Position

PRO

  • To proactively manage the timely submission of all types of application and paperwork to the local goverment bodies, including but not limited to visit visas, employment or residence visas, car registrations, Trade License, Labor permit, export license, economic license, foreign license, etc.

  • Prepare employee, guest and business visa process for new, renewal, cancellation of visas

  • Prepare, process, submit and obtain business visa from different embassies e.g. KSA, Kuwait, Jordan, Pakistan, Egypt, etc.

  • Act as company representative in Ministry of Interior, Ministry of Labor and other government bodies

  • Maintain monitoring for all types of visa, company license, medical and passport validity and expiration

  • Prepare weekly and monthly report of all the company registration, license, vehicle and visa details

  • Prepare detail expenses, fines or charge report and claims

  • Up-to-date information regarding government labor laws for all countries like UAE, KSA, Kuwait, Jordan, Pakistan, Egypt, Qatar, etc.

Secretary

  • Organize and maintain General Manager calendar of appointments, board meeting and conferences

  • Organize the work and follow-up for General Manager

  • Deal with GRADE offices to organize the work and ensure all assigned task are done on timely and efficient manner

  • Receive and screen phone calls and redirect them when appropriate

  • Checks and proofreads correspondence, reports and other documents to ensure accuracy and complete documentation prior to signature or initial of the signatory

  • Prepares correspondence from short notes or verbal instructions.

  • Prepares and maintains confidential correspondences, company memorandum, circulars, files, report, and presentations

  • Maintain electronic and paper records, ensuring information is organized and easily accessible

  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)

  • Organize internal and external events

  • Ensures that the offices are presentable

  • Providing secretarial support for several projects.

HR 

  • Perform all administrative duties related to HR

  • Process and maintain personnel files for Qatar employees. Responsible for retention and archiving of all personnel records.

  • Keeps HR records of new hires, transfers, terminations, changes in job classifications, merit increases; tracking vacation, sick, and personal time.

  • Act in a confidential capacity handling external and internal inquiries from the public, employees & branch offices.

  • Assist in monitoring employee performance appraisal program.

  • Coordinate and / or facilitate special projects as needed.

  • Provide office management and clerical services to the Corporate HR.

Qualifications

  • Diploma as a minimum qualification in administration or secretarial works or equivalent. 

  • Must have a very good English literate, speaking and writing skill.   

  • Perform each essential duty satisfactorily. 

  • Must have a basic knowledge of accounting fundamentals or bookkeeping. 

  • Must be knowledgeable in word processing, spread sheets, and able to set up data bases. 

  • Must have excellent customer service skills and the ability to quickly establish a rapport with people. 

  • Must be able to establish and maintain effective working relationships with team/unit.
